PRIVACY
What we collect when you register, pay, sign up or visit — who sees it, how long we keep it, and how to have it removed.
Last updated 3 November 2026. WE J'ouvert Band is operated by WET EXPERIENCE J'OUVERT BAND LTD, Port of Spain, Trinidad and Tobago.
1. Who is responsible for your data
WET EXPERIENCE J'OUVERT BAND LTD, trading as WE J'ouvert Band, Port of Spain, Trinidad and Tobago, decides how the personal information collected on this website is used. We handle it in line with the Data Protection Act, 2011 of Trinidad and Tobago. For anything on this page, email [email protected].
2. What we collect
When you register or buy a ticket, package, costume or race entry:
- your name, email address and phone number;
- date of birth, gender and nationality, plus country, city and (where asked) address;
- an emergency contact name and phone number;
- your ticket, costume and size choices, T-shirt or jersey size, team name and any promo code;
- optional details such as your Instagram handle and how you heard about us;
- medical notes, if you choose to give them — information about your health that our safety team should know;
- payment details: the amount, method, status and the reference WiPay sends us, and, for bank transfers, the screenshot or PDF of your transfer you upload. We never receive or store your card number.
If you register other people, you give us these details about them too. Only do so with their agreement.
When you join our mailing list: your email address and, if you give it, your name.
When you leave a review: your name, your review and, optionally, your email address (which is never published).
When you visit the site: the page you viewed, the site that referred you, the type of device, your browser language and your country. Your country is worked out from your IP address at the moment of your visit; we keep the country, not the IP address, in our visitor statistics. Our hosting and security systems also keep standard server logs, including IP addresses, for a short period to keep the site running and protect it from abuse.
3. How we use it
- to process your booking, take payment, confirm your place and hand over your package, costume or bib;
- to email you about your booking and the Event: confirmations, receipts, collection dates, schedule changes and, if a booking is left unpaid, a small number of payment reminders;
- to keep you safe on the day: medical notes and emergency contacts are used only for that, and are shared only with the people who need them to look after you;
- to publish race results (position, bib, name, time, age and gender) for timed races;
- to send you news and offers, if you joined the mailing list or registered for a race — every such email has a one-click unsubscribe link;
- to understand, in total, how many people visit the site and where they come from;
- to prevent fraud and misuse, keep accounting records, and meet our legal obligations.
6. How long we keep it
- Booking and payment records are kept for up to seven years, because they are part of our accounting records.
- Medical notes and emergency contacts are only needed for the Event they were given for. You can ask us to delete them at any time after that Event.
- Mailing-list addresses are kept until you unsubscribe. After that we keep only a record that you unsubscribed, so we never email you again by mistake.
- Visitor statistics are kept in total form and are not linked to you.
7. Your choices and rights
You can ask us at any time to:
- tell you what information we hold about you, and give you a copy;
- correct anything that is wrong;
- delete your information, or remove your name from published race results or a photo of you from our website or social media;
- stop sending you marketing emails (or use the unsubscribe link in any of them).
Email [email protected] and we will reply within 30 days. We may need to confirm your identity first, and we may have to keep the basic record of a paid booking to meet our accounting obligations.
If you are in the European Union or the United Kingdom: we use your details to carry out the booking you made with us, to meet our legal obligation to keep accounting records, for our legitimate interests in running a safe event and preventing fraud, and on your consent for marketing emails and for any medical notes you choose to give (you can withdraw that consent at any time). Your data is held in Trinidad and Tobago because that is where the Event takes place. You also have the right to data portability and to complain to your local data protection authority (in the UK, the Information Commissioner's Office).
8. How we protect it
The site runs over HTTPS. Card payments happen on WiPay's own secure page. Registration data, payment proofs and medical notes are stored on our hosting server and are only available to band staff through a password-protected admin area. No system is perfectly secure; if a breach ever put your information at risk, we would tell you without undue delay.
9. Children
J'ouvert is for adults aged 18 and over. Where children take part in a family Event such as the 1K, a parent or guardian registers them and provides their details, and can exercise the rights on this page on their behalf.
10. Changes to this policy
If we change how we use your information, we will update this page and the date at the top. For changes that matter, we will tell registrants by email. The rules for bookings themselves are in our Terms & Conditions.
